TERMS AND CONDITIONS

Please read these Terms & Conditions carefully before booking any Summit Moor activity. Keep a copy for your records. By booking with Summit Moor, you agree to these conditions and our Rules of Participation.

 

Booking and Age Restrictions

  • Bookings are accepted from individuals aged 16 and over.

  • Participants under 18 must have parental or guardian consent.

  • A deposit payment confirms your acceptance of these Terms and Rules.

  • By booking, you acknowledge that Summit Moor is not liable for any loss, damage, or claims related to your participation.

Governing Law and Company Information

  • These Terms and all bookings are governed by English law, and disputes are subject to England and Wales courts.

  • Summit Moor is an unregistered business operating in the UK.

Services Provided

  • Summit Moor supplies the itinerary and activities of your booked event.

  • Some services like accommodation, food, and transport are provided by trusted third parties.

  • While we take care in choosing providers, Summit Moor cannot be held responsible for unforeseen issues caused by these suppliers.

  • Any extras like flights or meals outside the itinerary are not included and are your own responsibility.

Travel Responsibility

  • You are responsible for all travel arrangements to and from Summit Moor events unless stated

  • Summit Moor is not responsible for verifying passports, visas, vaccinations, or safety conditions at event locations.

  • Failure to arrive at the start time or location means forfeiting your booking cost.

  • Valid ID or passport must be carried as required, especially for events abroad.

Insurance

  • We recommend you have suitable travel and activity insurance covering medical expenses, injury, and evacuation.

  • Insurance is not mandatory but strongly advised for your safety and protection.

  • You are responsible for understanding your insurance coverage and carrying proof during events.

  • Summit Moor is not liable for any medical, evacuation, or related costs incurred.

Deposit and Payments

  • Multi-day bookings require a non-refundable deposit of 35% or £100 minimum, whichever is higher.

  • Full payment is due if booking is made within 12 weeks of the event start.

  • Booking confirmation and details will be sent on receipt of your deposit.

  • Payments should be made by bank transfer; any banking fees are your responsibility.

Balance Payment

  • Final balance is due 12 weeks before the event date unless otherwise specified.

  • If payment is not received by the deadline, Summit Moor reserves the right to cancel your booking without refund.

Pricing and Currency

  • Pricing is displayed in GBP for UK events and in Euros for European trips.

  • Exchange rates are updated at payment time and may affect final cost.

  • Summit Moor may apply surcharges if currency fluctuations exceed thresholds set to cover increased costs.

  • You may cancel the booking without penalty if the price increases by more than 8% due to exchange rate changes.

Cancellation by Summit Moor

  • Events may be canceled if insufficient participants register to ensure viability.

  • We will inform you as soon as possible, at least 15 days prior for UK events or 30 days for European events, barring force majeure.

  • Cancellations entitle you to a refund of fees paid or transfer to an alternative event date.

  • No additional compensation is payable.

  • We recommend trip cancellation insurance to cover such situations.

Itinerary Changes

  • Itineraries may change due to weather, emergencies, or other unforeseen circumstances beyond our control.

  • Summit Moor will notify you of known changes before departure where possible.

  • Additional costs from itinerary changes (accommodation, transport, meals) are your responsibility.

  • You should book flexible travel arrangements that can be refunded or transferred.

Complaints

  • Please raise any issues immediately during your trip with your run leader, organiser or Summit Moor representative so we can address them.

  • Unresolved complaints must be submitted in writing within 28 days of your trip ending.

  • Failure to follow this process may affect any claims for compensation.

Marketing and Media

  • We strive for accuracy in our website and marketing but cannot be held liable for errors.

  • By booking, you consent to Summit Moor using your photos, videos, or data from events for promotional purposes without payment.

  • We comply with UK data protection laws and share your data only as needed to deliver your booking.

Run Leaders and Group Conduct

  • Run Leaders guide the group and hold authority to make decisions for safety and well-being.

  • They may require individuals to leave the event if health, behaviour, or legal concerns arise, without refund.

  • Participants remain responsible for their own safety.

  • Summit Moor reserves the right to change Run Leaders.

Team Ability

  • For guided runs we aim to group participants by ability to match pace and experience.

  • You should stay within your designated team throughout the event.

  • If your ability differs significantly, discuss this with your Run Leader so adjustments can be made where possible.

Medical Risks and Fitness

  • By booking, you confirm understanding the risks of trail running in remote and mountainous environments.

  • You declare that you are medically fit and have prepared physically and mentally for the event.

  • If you have medical conditions, provide a doctor’s certificate confirming fitness to participate before booking.

  • Participation is at your own risk; Summit Moor is not liable for injuries or illness sustained during events.

Infectious Diseases and COVID-19

  • You acknowledge potential risks of infectious diseases during group activities.

  • Summit Moor follows government health guidelines, which you agree to comply with.

  • You must not attend if unwell or required to self-isolate.

  • Face coverings and hygiene measures may be mandatory per official guidelines.

  • Summit Moor is not liable for illness contracted during events or travel.

Dietary Restrictions and Allergies

  • Reasonable notice of dietary needs will be accommodated where possible.

  • We cannot guarantee allergen-free food as suppliers prepare meals in mixed environments.

  • Participants must check ingredients or bring suitable food to avoid reactions.

  • Dietary changes cannot be guaranteed mid-event.

Health Risks on Trails

  • Trail running can involve serious risks such as altitude sickness, dehydration, injury, or death.

  • Participants must understand and accept these risks, ensuring suitable physical and mental preparation.

  • Emergency evacuations will be at participant’s expense.

Personal Responsibility

  • Summit Moor leaders hold recognised safety qualifications, but participation involves inherent risk.

  • Clients accept responsibility for their own actions and safety on all activities.

Client Cancellation Policy

  • Cancellations must be notified in writing. Charges apply as follows:

  • Free cancellation if notified more than 12 weeks before the event start date.

  • 50% cancellation charge if notified between 4 and 12 weeks before the event start date.

  • No refund if notified less than 4 weeks before the event start date.

  • Cancelling your booking is final unless otherwise agreed by Summit Moor. We reserve the right to resell your place and will compensate costs where possible.

Duty of Care and Event Conduct

  • You agree to follow leaders' instructions for health and safety.

  • Failure to comply or unauthorized solo activities will void duty of care.

  • Summit Moor may exclude participants who jeopardize safety, without refund.

Leaving the Event
If you voluntarily leave an event, Summit Moor is not responsible for your safety or expenses thereafter.

Accommodation

  • Unless otherwise stated, accommodation is shared

  • Single rooms may be available for an extra fee with advance notice.

Rules for Participation

  • Stay with your assigned group and Run Leader at all times.

  • If separated, use your whistle or phone to alert leaders.

  • Injuries requiring evacuation are at participant’s expense.

  • Mandatory kit must be carried as listed on the website.

  • Disclose medical details honestly at booking and update if needed.

  • No non-medical drugs allowed on events.

  • Follow the countryside code: no littering.

  • Minimum age to run alone is 16, younger runners must be accompanied.

  • Non-registered individuals may not join groups.

  • Leaders may alter or cancel routes for safety reasons.

  • Headphones allowed only at a volume that lets you hear instructions.

  • Breach of rules may result in trip cancellation without refund.

Social Media Competitions

  • Open to UK residents aged 16+.

  • No purchase necessary to enter.

  • Run via Facebook/Instagram with other platform awareness.

  • Closing date and rules stated on posts.

  • Prizes non-transferable, no cash alternatives.

  • Winners notified by DM; unclaimed prizes may be reallocated.

  • Promoter reserves rights to amend or cancel competitions as needed.

  • Not affiliated with social networks.

  • Winners consent to use of name/image for publicity.

  • Governed by English law.
